Job Responsibilities Consistently lead complex administrative assignments requiring critical action; assist management with problem solving around reoccurring, systemic problems. Create and manage all aspects of travel arrangements; reconcile expense accounts; approve and process payments. Arrange and oversee all aspects of both on-site and off-site meetings, and required to budget, manage and process expenses. Approve and reconcile expense reports following the company expense policy in Concur system. Schedule and manage meetings and conflicts on calendars; answer and screen telephone calls, take messages, monitors voicemail; process daily incoming and out-going mail. Prepare, edit and draft correspondences, PowerPoint presentations, create MS Visio, Word and Excel documents. Coordinates and take lead responsibility on special projects and ad hoc requests of the Vice President. Make decisions of a moderate scope that impact the administrative operations of the assigned department. Maintains and organizes department and project files. With limited to no guidance, prioritize and execute responsibilities. Manage contacts that are both internal and external. Review written material for accuracy and completeness; check calculations for accuracy; reconcile data. Work independently under little or no supervision and regularly work with confidential information. May be required to provide coverage for other Administrative Staff as needed. Job Requirements Associate's Degree, Technical/Business School or equivalent preferred. Minimum 5 years' experience supporting an executive. Intermediate level proficiency in Power Point, Excel, Visio, and MS Office products. Demonstrated knowledge of business application software including spreadsheets, databases and word processing. Excellent oral, written, and interpersonal communications skills. Public Notary Commission desirable.
