Kittle Property Group is looking for a Construction Administrative Supervisor to join our Corporate team at our headquarters in Indianapolis.
Salary: $70K, plus bonus
Schedule: Monday through Friday, 8am - 5pm

POSITION SUMMARY:
Responsible for the training and administrative/organizational support of the construction department and supervises and reviews the work of the construction administration staff. Provides leadership for the administration staff to achieve the department’s/ company’s mission and objectives.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Prepare and monitor subcontractor’s contracts, change orders and purchase orders for assigned projects.
- Data entry into accounting/ project management system for all assigned projects.
- Complete necessary compliance reporting for assigned projects. This can include, but is not limited to, Davis Bacon/Prevailing Wage, Section 3, Emerging Business, and MWBE reporting.
- Works with Designers to fully understand where most recent set of permit, and for construction documents are housed – but responsibility to upload those is by others.
- Coordinate necessary Construction Monitoring Services.
- Organize and maintain the home construction project files and applicable correspondence for assigned projects.
- Ensure that insurance certificates are maintained on file for all subcontractors and vendors that are on site for assigned projects.
- Maintain subcontractor contact list in Outlook, and any applicable accounting/project management system(s) for assigned projects.
- Provide site superintendents on assigned projects with required safety manuals, toolbox talks, posters, hard hats and other necessary equipment.
- Maintain electronic files for assigned projects.
- Distribute documentation, as needed, for all assigned projects.
- Ensure that all project preconstruction items are complete.
- Maintain and/or distribute AIA documentation, Certificates of Occupancy, and G704s for assigned projects, as needed. Receive completed punch lists and acceptance forms for assigned projects.
- Ensure that projects are properly closed out and all documents are filed for assigned projects.
- Complete Operations and Maintenance Manual for assigned projects and distribute as needed.
- Occasional attendance in the Stabilization Meeting and others, as needed, may be agreed upon.
- Manage, assist, and provide training/mentoring to the Construction Administrators.
- Assist in distribution of the bi-weekly schedule report, as needed.
- Provide training to the Construction Department, as needed.
- Prepare and track all Consultant Services Agreements. Ensure all insurance certificates for Consultants are maintained and current. In this case – this will be support for Development and Design, also.
- Coordinate, track, and maintain all records of the safety training received by Department staff.
- Manage department clothing orders, as scheduled, typically twice a year.
- Track and update inventory sheets, as needed.

QUALIFICATIONS/SKILLS & KNOWLEDGE REQUIREMENTS
- High school diploma or general education degree (GED)
- 6 years of administrative experience within a construction company.
- Working knowledge of Department policies, processes, and procedures.
- Language Skills – Ability to read, write, interpret and analyze business publications, technical procedures and government regulations. Ability to write and interpret reports, correspondence and manuals. Ability to effectively present to groups of people including employees, vendors and the general public.
- Math Skills – Ability to calculate discounts, interest, bonuses, proportions, percentages, and to apply concepts of algebra and geometry.
- Reasoning Skills – Ability to solve problems and work with a variety of concrete variables in situations where only general guidelines exist. Ability to interpret instructions in written, oral, diagram or schedule form.
- Computer Skills
Advanced experience with complete MS Office suite, MS Outlook
Familiarity with miscellaneous web browsers
Knowledge of and prior history utilizing Procore project management software
- Other Skills – General construction industry knowledge.
TRAINING REQUIREMENTS:
- Ongoing professional development.
- Prevailing Wage training, when required.
