Position Overview
The Administrative Assistant is responsible for  providing  support with the day-to-day administrative functions of the branch  by creating and maintaining records, compiling reports, gather and process data, schedule, coordinate, and office functions correlating to  the established procedures and policies.
Primary Responsibilities
Creates and maintains project files with supporting documentation for inspection or daily query, both electronic and physical, if applicable
Responsible for posting, submitting, and approving payroll for field personnel
Ensures all vendor tickets are coded correctly and submitted to accounts payable for payment
Provides support with account collections, vendor set up and coding of invoices
Assists Project Coordinator with accurate invoicing for services provided to customers
Submits project cost reports to management and operations daily
Reconciles company credit card transactions and expense reports for field personnel
Other duties as assigned
Qualifications

Proven time management and follow-through skills with the ability to work on multiple tasks with tight deadlines
Ability to work both independently and in a collaborative team-oriented environment

Maintain a tactful, mature and professional demeanor with well-developed interpersonal skills, including the ability to work with diverse personnel
Education and/or Experience
A minimum of 2+ years’ administrative experience as an office administrator, office assistant or relevant role
High School Diploma
High Volume environment
Experience with Microsoft software such as Word, and Excel
