We are currently seeking an experienced *Billing Administrator* to join our team. In this crucial role, the individual will possess strong organizational and communication skills, along with a keen eye for accuracy. The Billing Administrator is responsible for managing the billing process by ensuring accuracy, completeness, and timely invoicing to clients or customers while adhering to AIA billing procedures and standards. The role involves coordinating with various departments, maintaining billing records, resolving discrepancies, and providing excellent customer service.
*Primary Responsibilities:* * Generate accurate and timely invoices based on sales orders, contracts, or service agreements. * Verify billing information for completeness and compliance with relevant policies. * Communicate with clients, project managers, and other stakeholders to confirm billing details, manage the billing process from start to finish, and ensure compliance as stated in contract and purchase order. * Maintain organized and up-to-date billing records, including customer information, pricing, and terms. * Perform general bookkeeping work, which may include entering data and maintaining records, invoices, and supporting documents of amounts due for items purchased or services rendered. * Update customer account information when necessary. * Contact customers to collect past due invoices and provide them with monthly statements. * Audit open work orders on a monthly basis to ensure that no billings are being missed. * Provide waivers, diversity reporting, insurance statements and other documents alongside invoices so that customers have everything that they need to remit timely payment. * Performs other duties as assigned.
*Required Skills:* * Experience with accounting software, preferably Vista, and project management tools. * Experience with progressive AIA billing and T&M billing. * Proficient in Microsoft Office Suite, especially Excel. * Excellent organizational skills and attention to detail. * Strong analytical and problem-solving skills. * Excellent verbal and written communication skills. * Ability to work independently, prioritize, and meet deadlines. * Positive attitude and strong interpersonal skills, capable of working effectively in a team environment.
*Education and Experience:* * High school diploma or equivalent required; Associate or Bachelor’s degree preferred. * Two (2) to Five (5) years of experience in billing or a similar financial role. * Experience within the construction industry to include AIA billing.
*Physical Requirements: * * Prolonged periods of sitting at a desk and working on a computer. * Must be able to lift up to 15 pounds at times.
