Position Overview: We are seeking a highly organized and proactive Construction Coordinator to provide essential administrative and coordination support within our Construction Administration team. This role plays a critical part in facilitating effective communication, document tracking, and progress monitoring throughout the construction phase of our projects. Your contributions will have a direct impact on the success of our projects and the relationships with our clients.
Key Responsibilities:
Calendar Management: Coordinate meetings, manage schedules, and arrange travel for the Construction Administration (CA) team. Documentation Oversight: Organize, track, and distribute construction-related documents including Requests for Information (RFIs), submittals, and change orders. Communication Liaison: Serve as a primary point of contact between the CA team, project managers, contractors, and clients to ensure timely and accurate project updates. Meeting Coordination: Prepare meeting agendas, take thorough minutes, and follow up on action items to ensure accountability and progress. Project Tracking: Maintain project tracking systems and generate reports on progress, budget, and timelines for internal and client reviews. Regulatory Compliance: Ensure adherence to company and industry documentation standards, managing both digital and physical filing systems effectively. Administrative Support: Assist with miscellaneous administrative tasks such as supply ordering and coordination of team events to foster a positive work environment.
Qualifications:
Education: Associate’s or Bachelor’s degree in business administration or a related field is preferred. Experience: Minimum of 2+ years of administrative experience, ideally in construction, architecture, or engineering environments. Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) is required. Experience with project or document management tools like Procore, Newforma, or Bluebeam is beneficial. Organization Skills: Exceptional time-management and organizational abilities to handle multiple priorities effectively. Independence: Ability to work independently and prioritize tasks in a deadline-driven environment. Industry Familiarity: Knowledge of construction-phase documentation (RFIs, submittals, AIA forms) is a plus.
