They are seeking a Construction Project Clerk who is detail-oriented, highly organized, and eager to contribute to the successful execution of our construction projects. This role plays a key part in managing project documentation, coordinating with suppliers and subcontractors, and ensuring compliance with all regulatory and contractual requirements.

Responsibilities

  • Organize and maintain project files, including contracts, change orders, drawings, permits, and other documentation.
  • Archive and manage updates to project plans and specifications.
  • Track and log submittals and Requests for Information (RFIs).
  • Prepare, process, and follow up on purchase orders and invoices from suppliers and subcontractors.
  • Assist in the preparation of payment requisitions and work certifications.
  • Record and monitor change orders.
  • Coordinate and track material deliveries with suppliers.
  • Keep delivery and activity schedules up to date.
  • Support the control of check-in and check-out logs for personnel and subcontractors.
  • Ensure that all permits, licenses, and required insurances are current and valid.
  • Prepare daily, weekly, or monthly project reports as needed.
  • Facilitate communication between contractors, architects, engineers, and clients.
  • Manage project-related emails, phone calls, and general correspondence.
  • Coordinate with utility companies (Power Authority, Water Authority) and other government agencies.
  • Ensure compliance with Department of Labor, OSHA Puerto Rico, and State Insurance Fund (CFSE) requirements.

Requirements

  • Previous experience in construction project administration or similar administrative roles.
  • Proficiency in Microsoft Office and project management tools.
  • Strong organizational and multitasking skills in a fast-paced environment.
  • Excellent verbal and written communication in Spanish; English proficiency preferred.
