JOB SUMMARY
The Facilities Manager at Embarc Collective will lead the day-to-day operations of an approximately 32,000 square foot innovation hub located in downtown Tampa. Key responsibilities include managing all aspects of building maintenance, utilities, budget planning, contract management, project execution, and ensuring compliance with permits and licensing requirements. The Facilities Manager will also oversee critical support functions such as safety and security, reception/guest services, shipping and receiving, housekeeping, and event/space conversions. This position must strive to provide World Class guest service and demonstrate the highest level of professionalism to the client and members of Embarc Collective.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Oversees workflow of staff, ensuring successful delivery of service and task execution through onsite supervision.
Anticipate and interpret clients' needs and schedule support staff and vendors to meet those needs.
Ensures compliance to documented plans and provide direction and changes where needed.
Manages the building control systems and all components associated with the climate control system including programming, monitoring and scheduling system for the most economical and sustainable level of operation.
Maintains facility-wide preventative maintenance program, and consistently looks to improve maintenance plans.
Assists VP Facilities Operations with coordinating and organizing all building renovations, repairs and improvements.
Develops and implements regular safety meetings, assure department compliance with OSHA and actively participate in facility safety drills and planning.
Ensures staff have required tools, parts and resources to perform their jobs effectively and safely.
Develops techniques for work method simplification, improving working conditions, reducing costs and staying informed on industry best practices.
Develop and implement safety and security plans to create a safe and comfortable working environment.
Interprets technical information and drawings.
Negotiates service agreements with outside vendors.
Assures all permits and licenses are acquired and within good standing.
Assists with establishing facilities budgets and monitoring for variance.
Proactively predicts unplanned challenges or needs and communicates to client.
Responds to all emergencies and outages in a timely manner.
Knows and ensures all laws, codes, ordinances, policies, procedures, Risk Management, safety precautions, rules/regulations and emergency procedures are followed and administers emergency preparedness for the department.
Optimizes relationships with third-party partners to ensure consistency of service and related expenses.
This position requires physical activity including standing, walking, climbing and ability to lift 50 pounds.
Upholds and enforces company policy and procedure.
SUPERVISORY & MANAGEMENT RESPONSIBILITIES
Lead part-time staff and manage their workflow, inspire and motivate staff to deliver world-class-plus service to the guests/clients/members in a professional manner.
Responsible for the ongoing coaching of staff including handling disciplinary issues if they arise
QUALIFICATIONS
BA/BS Degree in Business of related field preferred.
A minimum of three plus (3+) years' experience in Facilities Management.
Certification as an RPA, FMA or CFM preferred.
Thorough knowledge of local, state and federal codes and regulations.
Leads with a high level of integrity and is a positive influence for the team.
Proven leadership and supervisory experience managing, coaching, disciplining and hiring staff.
Experience in managing a workforce, creating schedules, managing hours and overtime, assigning tasks, and mobilizing a workforce.
Solid and effective interpersonal and work leadership skills with a strong emphasis on workplace safety; ability to build strong and collaborative relationships with staff.
Demonstrate organizational and product management skills to support high quality standards while maintaining meticulous building conditions.
Exceptional attention to detail.
Prior experience with ABI Mastermind workforce management software highly desired.
Solid verbal and written communication skills, including active listening, flexibility, critical thinking and the ability to multi-task and ensure effective time management.
Highly developed judgment and problem recognition/avoidance/resolution skills.
Solid decision making and reasoning skills, and ability to develop original ideas to solve problems and conduct operations analysis and quality control analysis.
Ability to work in a fast-paced, changing environment and as part of a ONE TEAM focus.
General knowledge of Microsoft Office Suite (Word, Excel and Power Point) required.
General knowledge of an internal communications software, such as Slack, would be preferred.
Knowledgeable with Controls building management software preferred.
Ability to work long hours including days, nights, weekends and holidays.
