Position Summary: Monday - Friday 7:30 AM - 4:30 PM on-site in Fremont, OH office We are seeking a detail-oriented and organized Pre-Construction Coordinator to join our team. This office-based role supports the estimating and project management teams in multiple departments of the company by preparing and managing documentation related to construction bids, proposals, contract processing and project startup. The ideal candidate will have a strong understanding of construction documentation and excellent administrative skills. Key Responsibilities: Bid & Specification Review: Read and interpret construction specifications to determine administrative documentation requirements. Prepare and compile required paperwork for construction bid submissions, including forms, certifications, and company information. Contract Administration: Process incoming contracts, ensuring completeness and compliance with company policies. Track contract execution and maintain organized records of all contractual documents. Pre-Qualification & Proposal Support: Prepare and update company pre-qualification packages for submission to clients and other stakeholders. Provide administrative support for proposals, RFP responses, and other client-facing documents in coordination with the estimating/project management team. Project Startup Support: Compile and process paperwork needed to initiate construction projects, including internal setup forms. Coordinate with internal departments and external partners to ensure all startup documents are submitted and approved in a timely manner. Administrative Support: Maintain accurate and organized digital filing systems. Provide general administrative support to project managers and estimators as needed. Qualifications: Previous administrative experience in the construction industry preferred. Ability to read and understand construction documents and specifications. Strong attention to detail and organizational skills. Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint). Excellent written and verbal communication skills. Ability to prioritize and manage multiple tasks and deadlines. Experience with construction management software (e.g., Bluebeam, CMiC or similar) is a plus.
