Job DescriptionAs Project Coordinator you will play a crucial role in managing multiple projects simultaneously, ensuring smooth execution from start to finish. Reporting to the Production Director, you will facilitate communication, organization, and documentation to support project success. Your strong organizational skills, attention to detail, and effective communication will enable the delivery of high-quality work on schedule and within budget.
Responsibilities- Project Management and Coordination
- Oversee multiple roofing projects from initiation to completion, ensuring timelines, budgets, and quality standards are met.
- Ensure all projects are properly set up for use in all relevant software tools and portals, both internal and external to the company. These include client and supplier based.
- Assist in scheduling crews, materials, and equipment to optimize efficiency and minimize downtime.
- Coordinate with suppliers and subcontractors to ensure timely delivery of materials and services.
- Track project progress, identify potential issues, and collaborate with the Production Director to implement solutions.
- Administration and Document Management
- Maintain project files, contracts, change orders, RFIs, permits, and other essential documents.
- Prepare and distribute project reports, including job progress updates, material usage, and safety compliance reports.
- Ensure all compliance requirements, including OSHA regulations and local building codes, are met.
- Assist in the preparation of project estimates, budgets, payroll, and invoices.
- Ensure all closeout documentation including warranties are completed for every project
- Communication and Client Relations
- Serve as a key point of contact for clients, addressing inquiries, providing updates, and ensuring customer satisfaction.
- Facilitate clear communication between project managers, field crews, subcontractors, suppliers, and clients.
- Coordinate and attend project meetings, documenting action items and following up on deliverables.
- Facilitate weekly project team meetings, following up on action items, and extracting valuable project data from team
- Quality Control and Safety Compliance
- Support field teams in adhering to company quality standards and safety protocols.
- Scheduling required inspections by manufacturers and other stakeholders
- Monitor job sites as needed, ensuring compliance with contract specifications and worksite safety requirements.
- Assist in resolving issues related to project scope, materials, or workmanship.
- Billing and Financial Tracking
- Assist in tracking project costs, including labor, materials, and subcontractor expenses.
- Work with accounting to process invoices, track payments, and manage project financials.
- Monitor change orders and ensure proper documentation for additional work performed.
- Additional Responsibilities:
- Handle additional responsibilities and projects as assigned.
- High school diploma or equivalent; associate's or bachelor's degree in construction management or related field (preferred).
- Minimum of 2 years of experience in project coordination or a related role, preferably in the roofing or construction industry.
- Strong understanding of construction plans, submittals, and project documentation processes.
- Proficiency in using project management software and Microsoft Office applications.
- Exceptional organizational skills and attention to detail.
- Effective communication and interpersonal abilities, fostering collaboration with internal and external stakeholders.
- Team player attitude is a must.
- Strong problem-solving skills and the ability to adapt to changing project requirements.
- Ability to manage multiple tasks simultaneously and meet deadlines.
- Knowledge of roofing systems and materials (preferred).
- Commitment to maintaining a high level of accuracy and professionalism.
