Construction Administration Assistant

We are seeking an experienced Construction Administration Assistant with a strong understanding of American Institute of Architects (AIA) Contract Documents to join our team. In this role, you will provide administrative support, manage construction documentation, and ensure compliance with AIA standards throughout the construction process.
Responsibilities:
Coordinate and manage construction documents using the AIA Contract Documents software.
Assist with the preparation, review, and modification of AIA contracts, change orders, and other related documents.
Ensure that all construction documents are accurate, complete, and comply with AIA standards and regulations.
Communicate with architects, contractors, and other stakeholders to facilitate project coordination.
Maintain a comprehensive project filing system for construction documents and correspondence.
Process and track submittals, requests for information (RFIs), and other construction-related communications.
Assist with meeting scheduling, preparing meeting minutes, and distributing documentation.
Provide administrative support for project managers and other team members as needed.
Requirements:
Minimum of 2 years of experience in construction administration or a related field.
Proficiency in AIA Contract Documents software and a strong understanding of AIA standards and practices.
Excellent written and verbal communication skills, with attention to detail and accuracy.
Ability to manage multiple tasks and projects simultaneously in a fast-paced environment.
Strong organizational skills, including document management and record-keeping.
Proficient in Microsoft Office applications (Word, Excel, Outlook).
Familiarity with construction processes and terminology.
Desired Skills:
Experience with other construction management software.
Previous experience in an architectural or engineering firm.
Knowledge of building codes and regulations.
