Purpose
The Construction Delivery Coordinator (CDC) supports the planning and execution of construction projects such as new center openings, center expansions, roll-ins and other location changes. This role focuses on keeping project information organized, assisting with partner and invoice tracking, and helping the construction delivery team deliver projects on time and within scope. The coordinator works closely with growth directors, delivery managers, and internal teams to ensure accurate documentation, smooth communication, and timely follow-up on tasks to ensure projects are documented, tracked, and reported consistently.
Key Responsibilities
Project Coordination
Setting up new projects in company systems and maintaining accurate project files.
Track project milestones and keep schedules up to date.
Collect and organize project documents, photos, and checklists from growth and delivery teams.
Administrative Support
Prepare and update basic project reports and status updates.
Maintain construction tracking tools and shared folders.
Support scheduling of meetings and preparation of presentations for leadership
Vendor & Invoice Tracking
General partner accounts maintenance (AP/ AR)
Help track partner invoices and ensure they are processed timely.
Maintain logs for payments and follow up on outstanding items from partners.
Document & Notice Handling
Track and process applicable operational, legal, and lease administration notices, including terminations and legal entity/address changes.
Update project files when changes occur and coordinate with legal or leasing teams as needed.
Cross-Functional Support
Work with internal departments (Operations, Finance, Legal, etc.) to gather information and complete required steps for each project.
Support the delivery team leadership with ad-hoc requests, data entry, and process follow-up.
Required Skills, Experience & Qualifications
Experience & Background
1–2 years in an administrative, coordination, or project support role (construction, facilities, or real estate experience preferred).
Proficient in Microsoft Office Suite and comfortable learning new systems (e.g., SharePoint, project management software).
Basic understanding of construction or project management processes including familiarity with enterprise systems such as Procore, Pantera, Buildertrend, Kahua, SharePoint, Salesforce, Manage Path, Dynamics and invoice processing platforms.
