Construction Project Coordinator
Job Description Manage accounts payable, including invoice processing, payment scheduling, vendor communications, and reconciliation. Maintain accurate financial records using [QuickBooks or other software], and assist with month-end reporting and job cost tracking. Coordinate with project managers, subcontractors, and suppliers to support project timelines, materials procurement, and documentation (e.g., permits, contracts, purchase orders). Oversee daily office operations, including ordering supplies, maintaining filing systems, and managing general communications. Support human resources functions, including onboarding, maintaining employee files, benefits administration, and ensuring compliance with HR policies and labor laws. Help track construction schedules, budget updates, and change orders to ensure smooth workflow between teams. Serve as a point of contact for internal staff, vendors, and clients regarding administrative, HR, and coordination matters. Ensure compliance with internal procedures, safety documentation, and state/federal employment regulations. The Successful Applicant 3+ years of experience in office management, accounting, construction Construction Project Coordinating/Administration, or HR support. Solid understanding of accounts payable processes and basic bookkeeping; QuickBooks experience preferred. Familiarity with construction project workflows and documentation. Strong administrative and organizational skills with attention to detail. Proficient in Microsoft Office (Excel, Word, Outlook); experience with project management or scheduling software a plus. Strong written and verbal communication skills. Ability to multitask and prioritize in a fast-paced environment. Discretion in handling confidential information.
