As a Construction Project Coordinator, you will be a critical member of the Construction Team and will be responsible for assisting with the construction management of our day to day construction projects. You will work closely with the President of Construction, assisting with and being responsible for successful implementation of our construction projects while utilizing industry best practices as it relates to project documentation, communication, schedules, budgets and vital project processes. Job Description



Supports and helps manage Construction Team projects.

  • Provide administrative support for the President of Construction and Senior Construction Managers on projects and daily tasks.

  • Responsible for administrative tasks for the Construction Team.

  • Have the ability to take ownership of this role and improve on its processes to ensure project communication is concise and the entire team is up to date.

  • Supports project management and operations staff by handling contract administration, database management, project controls, file management, and close-out.

  • Compile and organize project information updates, financials and schedules in a reportable format. Assist with bid analysis, contractor onboarding, permit processing.

  • Become familiar with and utilize Company Software and Databases. Helps maintain, support and build upon software.

  • May assist with coordinating with vendors on equipment shipment status and notifying the team of any changes to ensure adequate materials, labor and other resources are available as needed. Verifies order delivery and billing accuracy.

  • Responds to any conflicts or missing documentation/information and promptly pursues clarification and instruction from team members.

  • Assists with labor, scheduling, material calculations when called upon.

  • Maintains and strengthens relationships with associated vendors.

  • Ensure proper hand-off to Ops Team by preparing project handoff meetings and post-mortem project reviews.

  • Take notes during meetings.

  • Draft spreadsheets and reports when called upon or as needed.

  • Act as a point of contact between the project manager, contractors and suppliers.

  • Check licensing agreements, equipment warranties and other documents.


Accounting Administration:

  • Assist with accounting and maintenance of cost reports.

  • Set up vendor accounts for the Field Office as required.

  • Process billings from Subcontractors.

  • Assist Project staff with maintaining Project Management Database

Reporting:

  • Assist in assembling Progress Reports and or Scheduling.

  • Process new hire trade partners according to Policies and Procedure manual.

  • Track and maintain subcontractor and supplier records / requirements.


Minimum Requirements


  • 5 + years of experience in construction project administration, engineer, assistant PM or building management.

  • Understanding of construction, architectural, project related documents and processes.

  • Entry level competency in support of a full range of construction management/administrative tools and best practices.

  • Demonstrated ability to establish processes, workflows and standard procedures.

  • Excellent communication and organizational skills with the ability to manage expectations with the construction team and other departments around project timeline.

  • Willingness to collaborate with the construction team to assist with planning, organizing and directing project activities to achieve project objectives.

  • Executes at a high level and has a proven track record of working independently, professionally, and effectively with minimal supervision.

  • Team - you are a team player with the flexibility and willingness to help other departments if needed.

  • Ability to challenge the process and bring innovative ideas to the table.

  • Ability to work under pressure and have flexibility in scheduled projects.

  • Communication within your team and the company as a whole to foster the best possible product for our residents.

  • We currently own multiple properties within the St. Louis Metropolitan, South Carolina and Jackson MS and are continually seeking to grow our portfolio of properties throughout the midwest and southeastern US. Our Corporate Office is in Kansas City. This is a full time in office position. Travel Requirements - Occasional, but not required.
