Construction Project Coordinator

The Project Coordinator is responsible for the organization, coordination and administration of documents relating to construction projects. We’re seeking a Project Coordinator with an established understanding of the construction industry who enjoys being part of a team, thrives with deadlines, timelines and organization and takes pride in their work. The ability to work for multiple Project Managers with strong attention to detail and accuracy is essential; as is the ability to establish and maintain positive and professional relationships with clients, contractors and colleagues.  This is a M-F in-person position, not eligible for remote work. Job Duties ·        Manage Client and Subcontractor Contracts and tracking logs ·        Manage Project Startup- Prepare, submit and track paperwork for projects including insurance, purchase orders, 20 day prelims, submittals, RFIs, etc., and manage documents and notices in database ·        Assist multiple Project Managers with proposals, budgets, schedules, purchase orders ·        Track bidding, accept and file, copy PM, follow up calls, maintain bid calendar in Outlook, Obtain Bid bonds and P&P bonds. ·        Permits – followup on plan review, troubleshoot permit issues before and after issuance, Submit required documents to meet conditions and follow up. ·        Owner change order tracking ·        Assist Project Managers by managing incoming Subcontractor bids ·        Schedule and document required inspections with city/county and utility companies ·        Cooperate and communicate effectively with Project Managers and Supervisors to provide technical and administrative support ·        Read and interpret construction documents to include drawings, bids, schedules, specifications and contracts ·        Work with Loan/Bank entities for front end documents needed on projects ·        Write professional business correspondence and prepare presentations ·        Prepare substantial completion certificates and ensure all required project close out documents are obtained ·        Create professional close out packages and presentations for clients for review by PM, ensuring AS built plans go to the designated parties, and all documents are properly archived. ·        Choose, load and track project Safety meetings each week ·        Facilitate picking up or dropping off project documents ·        Troubleshoot, maintain Office Equipment and initiate repairs ·        Answer Phones and Door bell, representing Caylor ·        Other duties as assigned

Required Skills/Qualities ·        High School Diploma ·        Excellent knowledge of Windows file structure and Microsoft Office ·        Proficient multitasking and managing of deadlines while maintaining cool under pressure ·        Adaptability – must be able to work for multiple project managers and accounting department on a variety of projects with varying requirements ·        Organized, professional, presentable with the ability to represent our company well ·        Self-motivated and disciplined to work independently as well as in a team environment ·        Must know how to read/interpret Construction Plans ·        5 Years of experience in construction office environment ·        Good driving record Preferred Skills/Qualities ·        Experience with Procore and Bluebeam software Salary depends on skills and experience. We offer competitive compensation and benefits including medical/dental, Simple IRA plan, 6 paid holidays, PTO, and casual professional dress.
