Primary Responsibilities
- Prepare and handle contracts, subcontracts, change orders, and other documents pertinent to ongoing projects
- Assist in the initial setup, ongoing maintenance, and closeout of projects as it relates to administrative paperwork
- Compile monthly pay requisitions for owners and prepare subcontractor monthly pay estimates
- Provide support using Company accounting software to process subcontractor related payments
- Process subcontractor and owner change orders
- Process, transmit, and track submittals for various projects
- Obtain all pertinent drawings, warranties, materials, and paperwork from subcontractors and suppliers for project closeout
- Assist project team members in project management, material and subcontractor solicitation, and other administrative processes by efficiently managing forms, paperwork, and providing timely and effective communication (e-mail, telephone, etc.) to internal staff and external customers and subcontractors.
- Assist the Estimating Department with solicitation of subcontractors and suppliers and prepare bid documentation and specifications as it pertains to upcoming bid opportunities
- Assist the Estimating Department by performing Owner mandated Good Faith Effort associated with soliciting Disadvantage Business Enterprises/Small Business Enterprises (DBE/SBE)
- Manage and track subcontractor insurance certificates for all open projects to ensure information on file is current
- Process state license renewal forms and maintain prequalification paperwork so the Company may continue to do business with various Owners in multiple states
- Provide overall support to Company Managers and perform other related administrative tasks and duties as assigned by Supervisors
Requirements:
- High school diploma/GED required.
- Must hold a valid government issued Driver's License
- Must be able to demonstrate organizational skills.
- Ability to communicate with others to convey information effectively.
- Ability to understand and efficiently carry out instructions.
- Ability to work well under pressure and within established timelines.
- Ability to handle multiple tasks simultaneously and manage time accordingly.
- Ability to work with management to resolve any issues that arise.
- Able to operate a computer and other office machines with advanced knowledge of Microsoft Office with a proficiency in Word and Excel.
- Must be able to pass pre-employment drug screen, physical, and E-Verify.
