Category Administrative Job Type Full-time Education High School / GED Salary Grade $35.58 - $66.83 ( $74,000 to $139,000 YR ) Travel None Security Clearance Required None Job Description The Document Control Manager champions document management across the program within the program team and with external entities, all while in alignment with client requirements. This includes, but is not limited to: Managing a team: Managing the document control resources to ensure that the right skills and support are being provided to the team. Providing guidance on tasks and clarity by defining document control team members' roles and responsibilities. Supporting the onboarding/offboarding process and monitoring new hires and staff members leaving the program to enable/disable their accounts in the EDMS/SharePoint systems. Providing guidance/direction as needed to the appropriate Document Controls Team members for escalation of document management issues. Supporting the Integrated Program Management Team (IPMT): Ensuring that stakeholders/users have the tools and training they need to comply with document management guidelines. Ensuring consistency, accuracy, and timely processing of documents. Providing ongoing Open Office hours training, along with one-on-one training for new hires, PMT, consultants, and contractors as needed. Supporting external entities in their use of Amtrak Systems and Tools while ensuring they follow appropriate processes. Managing tools and systems for document management: Ensuring the Distribution Matrixes are updated and managing roles/permissions in the EDMS tools. Serving as the liaison and point of contact between the Construction and IT teams to ensure iPads and similar devices used in the field have the latest drawings/specs on them. Managing processes and procedures: Maintaining and updating a consistent naming convention to ensure accuracy and expedient retrieval. This system will include taxonomy with content types/metadata. Ensuring all team members are following the processes and procedures. Skills and Requirements Preferred Qualification: Significant experience in using Electronic Document Management Systems (EDMS) such as Aconex, Unifier, Kahua, In Eight, etc. Experience Level: 15 Minimum Years of Experience required.
