Job Details
This versatile role spans three primary areas of focus: office administration, people operations, and marketing coordination. The ideal candidate is an organized, proactive communicator who thrives in a cross-functional environment. This position plays a vital role in maintaining an efficient workplace, supporting the employee experience, and enhancing the company’s visibility through marketing efforts.
Key Responsibilities:
Office Administration (Approx. 30%)
Act as the primary contact for all office-related needs, including supplies, vendors, equipment, and facility upkeep
Develop scopes of work for vendors and ensure timely, high-quality service delivery
Keep shared office spaces clean, organized, and functional
Plan logistics for meetings, team events, and company-wide gatherings
Handle general administrative tasks such as mail, deliveries, scheduling, and document management
People Operations Coordination (Approx. 40%)
Oversee onboarding and offboarding processes including paperwork, equipment setup/return, and orientation
Maintain up-to-date and compliant employee records
Assist with transitioning to a more automated HRIS environment
Help coordinate employee training, communication, and engagement initiatives
Uphold professionalism and confidentiality in all HR-related matters
Marketing Coordination (Approx. 30%)
Manage website and social media updates, including tracking engagement for ROI analysis
Draft and schedule content such as project highlights, team features, and announcements
Create marketing materials including brochures, branded items, and proposals
Liaise with external marketing vendors when needed
Assist with the implementation of internal culture and brand-building initiatives
Qualifications:
2+ years of experience in administrative, HR, or marketing support roles
Highly organized with strong time management skills
Strong written and verbal communication abilities
Proficient with tools such as Microsoft Office, Excel, Canva, and major social media platforms
Able to work independently, manage shifting priorities, and thrive in a dynamic environment
Familiarity with HRIS and digital marketing platforms is a plus
