DUTIES AND RESPONSIBILITIES:
KEY FUNCTIONS:
- Ensure all duties and responsibilities for Payroll and Unions are completed timely and accurately.
- Assure that payroll goes out in timely manner.
- Cut weekly Payroll Checks and any payroll checks during the week.
- Import Payroll and reconcile.
- Forward payroll summary to supers for approval.
- Prepare and submit Certified payrolls to agencies as required (LCMS, LCP)
- Prepare and submit OCIP Reports (monthly)
- Prepare and submit benefit payments to various unions (weekly and monthly) - reconcile with system for accuracy (monthly)
- Prepare and submit 401k payments, reconcile quarterly for accuracy.
- Submit child support payments via Expert Pay.
- Enter new employees and verify eligibility.
- Gather receipts, enter credit card charges, accurately reconcile company credit cards and provide timely reports within 3 weeks from closing statement.
- Gather receipts, enter fuel credit card charges, accurately reconcile company fuel usage/cards and provide timely reports within 3 weeks from closing statement.
- Calculate quarterly disability insurance payments and FPML
- Receive and respond to unemployment claims, timely
- Process OCIP applications for new jobs
- Prepare documents for annual union and insurance audits
- Employment verifications
- Maintain Employee Certifications
- Review and abide by company policies and procedures
- Make sure account balances are correct and resolve payroll errors
- Monitor promotions, transfers, and terminations
- Issue annual pay verification letters
- Annual 401K notice letters
ACCOUNTABILITY:
Performance standards for this position are met when:
- All responsibilities for Payroll and Unions are provided timely and accurately.
- Credit cards and Gas cards timely Reconciled monthly with current information. Weekly expenses emailed weekly to users.
- Timely and accurate updates into the system, including updated coding and time-sensitive updates into Foundation with newly established Annual Union Labor Rates that effectuate in June each year.
- Timely and accurate updates into the system, for the ACA reporting yearly by the end of January each year.
- Update appropriate Flash Reports timely and accurately by 10am Tuesdays and email
SKILLS & KNOWLEDGE:
- Detailed knowledge of Payroll Compliance and Procedures.
- The ability to communicate effectively with and understand the specialized needs of the owners, labor unions, employees, clients, general contractors, project managers, contractors, vendors, and customers.
- Payroll experience, ideally experienced with unions, construction, or utility site work.
- Working knowledge of Excel, Payroll and Accounting Systems (Foundation is a plus).
EDUCATION:
Required: High School Diploma Preferred: College Degree - Major in Accounting, Finance or Construction Management
The compensation for this position ranges from $70,000.00 - $90,000.00. Actual compensation will be dependent upon the specific role, office location as well as the individual's qualifications, experience, skills and certifications.
