Position Summary

We are seeking a highly detailed, organized, and motivated multitasker to join our team as the Preconstruction Manager. This role is essential and central to overseeing and supporting the company's estimating efforts. The position demands excellent organizational skills, a proactive attitude that is highly valued, and the ability to handle multiple tasks efficiently.

Key Responsibilities

Project Documentation Management:
  • Organize and manage all project-related documentation, including plans, specifications, and amendments.
  • Ensure that all documents are current and easily accessible to the preconstruction team.

Bid Package Preparation:

  • Assist in the preparation of bid packages, proposals, and presentations.
  • Ensure that all bid documents are complete, accurate, and submitted on time.

Scheduling and Coordination:

  • Coordinate project schedules and deadlines.
  • Track critical dates and ensure that all team members are aware of upcoming milestones.

Subcontractor and Vendor Communication:

  • Communicate with subcontractors and vendors to gather pricing, availability, and other essential information.
  • Maintain a database of dependable subcontractors and vendors.
  • Contact subcontractors early in the bidding process to secure their participation.

Subcontractor Bid Management:

  • Manage subcontractor bid management on Building Connected.
  • Gather subcontractor RFIs and work with estimators to submit project RFIs.
  • Ensure timely and accurate distribution of bid invitations and follow-ups.

Estimating Support:

  • Assist estimators in gathering and compiling necessary project data.
Preconstruction Coordinator
  • Enter data into estimating software and maintain estimating databases.
  • Utilize On-Screen Takeo, and Quick Bid for accurate takeo, and estimating tasks.
Administrative Tasks:
  • Handle administrative tasks related to the preconstruction process, such as filing, document control, and data entry.

Project Management System Coordination:

  • Manage bidding projects in OneDrive, On-Screen Takeo,, Quick Bid, Building Connected, and Monday.com.
  • Ensure all project management systems are up-to-date and properly maintained.

Client and Stakeholder Interaction:

  • Serve as the primary point of contact for clients during the pre-construction phase.
  • Coordinate with architects, engineers, and other stakeholders to gather and relay all essential information.

Meeting Coordination:

  • Schedule and coordinate meetings with internal teams, clients, and subcontractors.
  • Prepare agendas, take meeting minutes, and distribute them to relevant stakeholders.

Bid Calendar Management:

  • Maintain and update the bid calendar to ensure all deadlines are met.
  • Track and follow up on bid submissions and outcomes.

Cost Comparison and Analysis:

  • Compile and compare subcontractor bids to help estimators choose the most competitive and qualified ones.
Candidate Requirements:

Education:

Bachelor’s degree in Construction Management, Engineering, Architecture, or a related field is preferred. Equivalent work experience will also be considered. If these requirements are not met, we will consider candidates who have demonstrated the skill set outlined below, proving they can learn quickly and adapt.

Experience:

  • Minimum of 2 years of experience in a construction or preconstruction role.
  • Experience in commercial general contracting is a plus.

Skills:

  • Strong organizational and multitasking abilities.
  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft O,ice Suite (Word, Excel, PowerPoint).
  • Experience with estimating software (e.g., Bluebeam, On-Screen Takeo,, Quick Bid).
  • Familiarity with subcontractor bid management software (e.g., Building Connected).
  • Attention to detail and a high level of accuracy.
  • Critical thinking skills are a must
  • Strong work ethic as work weeks can regularly extend beyond 40 hours a week.
  • Self-starter who doesn’t require management directives to perform their work
  • Ability to think outside the box and suggest improvements to management if they identify a better way to perform a task.

    • Familiarity with construction industry standards, practices, and regulations.
  • Software Proficiency
    • Proficiency in estimating and cloud-based software.
  • Certifications
    • Relevant certifications such as LEED AP, PMP, or similar.

    • You have demonstrated the ability to work effectively in a team environment and coordinate with multiple stakeholders.

    • Strong problem-solving skills and the ability to think critically under pressure.
