TITLE: Project Coordinator (exempt / non-union / full time / in-person)
Reports to: Project Manager / Partner
Position Summary: The Project Coordinator is responsible for learning and assisting with all logistical aspects of CVGs commercial building projects, including estimating, bidding, responding to RFPs, scheduling, managing subcontractors, and client communication. All project administrative duties are shared and executed by the Project Coordinator under the guidance and direction of the Project Manager. This position works closely with all project team members to develop and maintain client relationships, to complete projects to CVGs high-quality standards, and to meet overall company objectives.

ESSENTIAL DUTIES & RESPONSIBILITIES (not limited to):
Project Coordinator
- Assist in generating, tracking, and completing all administrative requirements necessary to support Project Management.
- Assist with bid process produce plans, call subcontractors, collect bids, organize bid binders.
- Review and understand plan specifications and documents for overall project knowledge.
- Maintain and organize copies of all bid and RFP documentation.
- Organize and follow up on bid job walks.
- Work with PM to develop scopes of work and schedules.
- Assist in project buyouts.
- Assist in preparing, updating, and distributing OAC meeting notes on a weekly basis for all projects.
- Assist Project Management teams to facilitate permitting and city government coordination for all aspects of projects.
- Assist in processing, tracking, distributing, and managing approved documentation (subcontractor submittals, RFIs, drawings, change orders, project schedule) in collaboration with Project Manager.
- Review subcontractor invoices for contract accuracy, percentage of completion, and proper backup documents.
- Assist Project Manager with preparation of project invoices.
- Assist in generating and tracking punch list and closeout documents.
- Accurately record time spent on various tasks by job number and tracking number for payroll and job costing.
- Maintain and uphold safety and quality control to CVGs highest standards.
- Consistently visit jobsites.
- Maintain working knowledge of all systems used or request training.
EDUCATION/EXPERIENCE/QUALIFICATIONS:
- Entry level position for someone seeking to learn the processes involved in commercial construction projects; bachelors degree preferred.
- Proficiency with Word, Excel, and Outlook required.
- Strong communication skills (verbal and written).
- Organized with a strong attention to detail and accuracy; excellent follow-through skills.
- Ability to build and foster positive team relationships.
- Maintains a professional environment, demonstrates ethical behavior, and uses good judgement.
- Be adaptable, flexible, and resilient while managing multiple tasks concurrently in a fast-paced environment.
- Valid Drivers License, valid auto insurance, and reliable transportation.

PHYSICAL DEMANDS & WORK ENVIRONMENT
This job primarily works in an office environment but may occasionally be offsite for errands.
- Prolonged Sitting:Most administrative tasks involve sitting at a desk, working on a computer.
- Repetitive Hand Movements:Frequent use of a keyboard, mouse, and paper handling.
- Visual Strain:Extended screen time for document review, budgeting, and communication.
- Lifting:Frequently lifting office supplies, documents, or small equipment (typically under 20 lbs.).
- Verbal Communication:Frequent phone calls, meetings, and on-site discussions.
- Walking & Standing:Construction site visits may require prolonged standing and walking over uneven terrain.
- Climbing & Bending:Possible need to climb stairs or access different work areas.
- Use of PPE (Personal Protective Equipment):Required if on a jobsite (Hard hat, reflective vests, protective eyeglasses, closed toed shoes, etc.).
This position has an annual salary range of$69,000 - $80,000k. The actual salary offer will be carefully considered based on a wide range of factors, including your skills, qualifications, and experience. The range is subject to change and may be modified in the future.
