Job Overview The ideal candidate for this role is critical to the communication of the day-to-day momentum of projects and ensuring accurate record-keeping for the projects. Additionally, the candidate will need to record larger-scale tracking involving coordination and organizational skills of large, multi-month projects. Responsibilities Work with senior leaders on the team on scheduling, invoicing, and partnership agreements Develop and implement processes to track multiple projects simultaneously, including scheduling meetings, capturing next steps, and improving efficiency from start to finish Meet with team members to learn about the status of existing projects and details about new projects, including external agency relationships, partners, and multiple departments within ZIS. Collaborate with freelancers and others when necessary. Understand the roles within a construction team and assign next steps accordingly Digest and understand the full scope of complex projects, ensuring timely delivery by coordinating team efforts and noting next steps Collaborate across all levels and functions of the team, managing stress and deadlines effectively Manage scheduling of discussions and meetings within the organization and with external partners Proven experience as a construction project coordinator or similar role Deep understanding of construction procedures, materials, and project management principles Ability to see the big picture and plan accordingly Excellent organizational, time-management, communication, and negotiation skills Strong problem-solving abilities BSc/BA in construction management, architecture, engineering, or relevant field Experience working on construction projects, with knowledge of building codes and regulations Proficiency in project management software and familiarity with quality and health & safety standards Ability to interpret technical documents and drawings Work efficiently in a fast-paced environment with attention to detail and ability to work independently or in a team Qualifications and Experience Knowledge of SMARTSHEETS is a plus Highly curious, creative, and motivated individual capable of working in a dynamic environment Ability to prioritize multiple projects Strong interpersonal skills for effective communication with on-the-ground teams and office staff Proficiency in Smartsheet (Sys Ad certificate is a plus), Google Docs and Sheets, and navigating Fieldwide (Project Management tool) Experience working directly with upper management or project management Zero Impact Solutions is an equal-opportunity employer.
