As a Store Construction Coordinator, you will provide administrative support to the Store Construction Department and coordinate the various retail construction projects for our network of stores nationwide.
YOUR FOCUS (JOB DUTIES AND RESPONSIBILITIES):

You can adapt quickly and have the discipline to stay organized and provide consistent follow-through during all levels of a project workflow. Along with working within a diverse workforce, the Store Construction Coordinator will coordinate multiple projects simultaneously and ensure they are completed on time and within the established budget. You will also:
Receive, code, and record invoices from all vendors ensuring all invoices and close-out packages are complete including lien waivers from all GCs, subs and materialmen.
Tracking actual spend to planned
Data entry and accurate reporting on Capex budget
Act as liaison between external vendors and Victra Accounts Payables Department
Complete close out reports showing plan costs vs. actual costs per project
Administer Tenant Improvement Allowance requests and follow-up with Landlords to ensure all documentation required to collect Tenant Improvement monies owed to us per our lease agreements
Follow-up with Cities/Municipalities on violations, expired/voided Certificate of Occupancies.
Coordinate with Store Construction Project Managers to get permits and Certificate of Occupancies as required to release electric services.
Complete follow-up with Sales Team two weeks after store opening to complete formal turnover of stores to Facilities Department
Work with Store Construction Project Managers to ensure any lingering issues from construction are identified and addressed promptly
Activate all utilities and work monthly with the utility vendors to ensure payment, activations, and disconnections are executed properly.
Monitor and approve utility invoices
Maintain a master database of utility information for all stores, including landlord provided utilities
Track Victra Co-op account
Ensure credits for new stores and special programs to ensure account is funded properly
Ensure debits against account are accurate
Develop and administer a master database for all stores with information pertaining to the various physical elements in the space: fixture types/quantities, sign size and quantities, specialty fixtures, entrances, design specifics, open/remodel dates.
YOUR BACKGROUND (Requirements):
You bring considerable initiative, latitude and independent judgment. You also have strong listening skills and the ability to interact across all levels within an organization. We are looking for the Store Construction Coordinator to also bring:
A High School Diploma. Associates Degree is preferred.
1-3 years of experience required in related field. Entry level will be considered for the right candidate where you would have hands on experience perhaps with administration coordination
Proficiency in all standard Microsoft Office programs required.
Previous experience with business services, technical services, telecom or similar technology-based background preferred.
